    II. Duties
    • General
    o contact person in case of crewing-related matters
    o act as Manning Agent for direct employed crew (i.e. German crew)
    o handling of crew or customer complaints, unusual incidents (i.e. dismissal, unsuitability, P&I etc.), non-conformities, irregularities and its reporting to Technical Superintendent, Manager Crewing and superior

    o regular ship visits in the vicinity of the Head Office
    o processing of invoices, checking validity and correctness and approval in accordance with invoice approval procedure
    o compliance with all standards implemented in the company (ISM, ISO at present)

    o crew planning for officers and ratings
    o closing of open positions
    o joint execution of planning with the respective Technical Superintendents for the top five positions / joint execution of planning according to customer / clients requests
    o responsibility for the selection and assignment of seafarers
    o ensure re-employment of ex-crew according to owner’s, company’s, STCW 95 and flag state requirements
    o verification and approving of seafarers employment contracts (SEA) and vessel standard agreements (i.e. ITF, FESMAR, etc.)

    o keep all stakeholders such as but not limited to Operations, Shipmanagement, owner informed about crew change planning

    o review and evaluating crew performance reports / appraisal reports and communicate with owners and the Technical Superintendent, where applicable
    o consider promotable crew according to company standards in close consultation with Technical Superintendent
    o responsible for monitoring training needs and arranging trainings in liaison with training officer (DCA), where needed
    o develop and provide support to crew in regards to their career prospects

    • Disciplinary matters
    o monitor disciplinary proceedings in close consultation with the captain and the Technical Superintendent / owner, e.g. in the case of verbal or written warnings and dismissals
    o ensure that corporate policies are communicated on board
    o communicate non-conformities, emergencies and complaints to Technical Superintendent, Manager Crewing and superior

    • Claims & Insurance
    o take care of crew-related medical cases
    o process P&I cases in close contact with the insurance department
    o liaison with flag states in case of need

    Manning Operator
    II. Duties
    • General
    o responsibility to monitor, organise and timely issue all necessary crew documents prior joining
    o central contact person for the seafarer before and after the assignment
    o act as an interface between the Crew Superintendent and the seafarer
    o continuously monitor the availability of the seafarer and keep the Crew Superintendent informed about it
    o usage of the Cloud Crewing and maintenance of the data
    o supervision of sub agencies (for DMSE only)
    o compliance with all standards implemented in the company (ISM, ISO at present) and owners requirements
    o adoption of the related requirements and goals set
    o ensuring the compliance with Data Protection Regulations (GDPR) and all aspects regarding cyber security at his/her working place
    o ensuring communication of internal and external cyber risk opportunities if someone becomes aware about and proper assessment of the same by the responsible person

    • Recruitment
    o recruitment of new staff according to company requirements
    o co-organise and monitor the selection process
    o insert new candidate data to the Cloud Crewing

    • Document preparation
    o monitor expiry dates of existing documents
    o provide relevant document requirements to the seafarer
    o processing of seafarers documents and travel requirements
    o ensuring renewal of seafarers documents, such as but not limited to, passport and medical certificate
    o prepare visa and flag state requirements
    o coordination of visa application and appointments in consultation with the seafarer
    o coordination of external training schedules of seafarers in consultation with the DCA and local training centers / maritime academies

    o pass on all needed information and medical reports to the respective the CSI, Crew Accounts and/or Lara Barnes accordingly

    II. Duties
    • General
    o responsibility for the planning, organisation and cost-efficient execution of the entire crew change process in consultation with the Crew Superintendent in charge
    o first point of contact for operational matters (i.e. crew changes, crew change-related difficulties, flight bookings, document check)
    o compliance with all standards implemented in the company (ISM, ISO at present)

    • Document preparation
    o inform the Manning Agent about the planned crew change and requesting the Seafarers availability through him
    o monitor expiry dates of existing documents and ensure follow-up of outstanding documents
    o control all relevant crew documents and ensure that crew is certified as per company, STCW 95, flag state and other requirements applicable
    o ensure that all travel documents for the joining crew (i.e. visa) are arranged and available on time
    o ensure that outstanding flag state documents are organized within time

    • Travel organization
    o request flight offers from Travel Department Manila
    o book cost-efficient flights taking into consideration of luggage allowances and routings
    o make hotel reservations, transfer arrangements via local agent


    • Crew change
    o check and plot vessel ETA/ETD in order to conduct cost-efficient crew changes as instructed by the CSI / or based on the contract duration
    o liaise with vessels, crewing agencies, port agents as well as crew members and monitor all crewing related communications
    o prepare and send crew change messages to all concerned parties containing all required information to ensure a smooth crew change, keep track and send updates to all parties concerned in case of changes

    • Post-processing
    o invoice processing and d3 verification for flights, crew changes, P&I cases
    o calculation of travel expenses in case of next of kin travels, early end of contract and contract resignations
    o tracking of lost luggage
